How to Fill Out a PDF Form (With or Without Fillable Fields)

Most PDF forms fall into one of two categories: genuine interactive forms with clickable fields, or flat pages someone expects you to print, fill by hand, and scan back. This tool handles both without you needing to know which one you have.

Steps

  1. Open Fill PDF Form and drop your file.
  2. If it has form fields, they’re highlighted automatically — click and type or tick each one. If it’s a flat PDF with no fields, click anywhere on the page to drop a text box.
  3. Optionally turn on flatten, then click Fill and download the completed PDF.

Two forms, one workflow

You don’t need to figure out in advance whether your PDF is a “real” fillable form. Drop it in, and HivePDF detects interactive fields and highlights them if they exist. If there are none, it switches to free-text mode, letting you click anywhere to place text — the same approach that makes flat, scanned forms fillable without printing them first.

Keep it editable, or lock it down

By default, a filled form stays interactive — useful if you or someone else needs to revisit the answers. When you’re ready to send a final version, turn on flatten: your typed values are baked directly into the page and the interactive fields are removed, so the document displays identically in every PDF reader and can’t be altered afterward. That’s the difference between a working draft and a document you’d attach to an email as final.

Notes

Everything runs in your browser, so a form full of personal details — an application, a medical intake form, tax paperwork — never leaves your device. To add a signature to the completed form, use Sign PDF; to combine it with a cover letter or other documents, use Merge PDF.

Frequently asked questions

What if my PDF doesn't have clickable form fields?
The tool switches to free-text mode automatically: click anywhere on the page to drop a text box and type. This handles the common case of a flat PDF — a scan or an export — that was never set up as an interactive form.
Should I flatten the form after filling it in?
Flatten it if you're sending a final copy — your answers get baked into the page and the interactive fields are removed, so the document looks identical everywhere and can't be edited further. Leave it un-flattened if you might want to update the answers later.
Can I fill in non-Latin text, like Chinese or Japanese characters?
Form fields currently render with a Latin font, so non-Latin scripts may not display correctly inside fields yet. Standard Latin text and the free-text click-anywhere mode both work well.
